HOSTED TELEPHONY

Your cloud phone system works wherever your team does

A cloud phone system lets your Hampshire business handle calls over the internet. Your business phone system runs in secure data centres, so you do not need an onsite phone server. Your team connects using desk phones, laptops or mobiles.

Hosted telephony means your provider runs the phone system in a data centre rather than on your premises. A VoIP phone system sends your voice over the internet as data. You can use the same extension in Aldershot, at home in Fleet or on site in Southampton.

  • No on-site phone system to maintain or replace
  • Add or remove users quickly as staff join or leave
  • Desk phones, softphone apps and mobiles on one system

THE 2027 SWITCH-OFF

Move your traditional phone lines before 31 January 2027

The PSTN network closes on 31 January 2027. If you use analogue or ISDN lines, plan your move to digital calling.

What changes for your business

Openreach has set 31 January 2027 for all traditional lines to move to digital. Services left on the old network may move to an emergency voice-only service or be cut off. ISDN ceases on the same timetable.

  • Analogue PSTN lines and ISDN2 or ISDN30 circuits
  • On-site phone systems that depend on those lines

The equipment people forget

Many offices, shops and units have other kit wired to a copper line, and it can fail without warning after the switch. We list every connected device and agree a digital replacement before anything changes.

  • Monitored intruder and fire alarms
  • Lift emergency lines and door entry panels
  • Card terminals and CCTV units on phone lines

FEATURES

Business phone system features to get calls to the right people

Choose features around how your team answers and routes calls. Available features depend on the platform you choose.

Call routing and hunt groups

Send calls to the right person by time of day, department or location. Ring a group together or in turn, and overflow to mobiles when the office is busy.

IVR and auto attendant

Greet callers with a short menu, such as press 1 for sales or 2 for accounts. Callers reach the right team first time, and reception spends less time transferring calls.

Voicemail to email

Messages arrive in your inbox as audio files, with missed call alerts alongside. Listen between meetings or forward a message to a colleague without dialling into a voicemail box.

Call recording

Record inbound and outbound calls for training, disputes or compliance. Recordings can be searched by date, number and user. We help you set retention periods and caller notices that fit UK GDPR.

Mobile and desktop apps

Make and take calls on your business number from a laptop or smartphone app. Your personal mobile number stays private, and you can transfer, park or pick up calls as normal.

Conferencing and presence

Start conference calls and see who is free or already on a call. Music on hold, call park and do not disturb usually come with the platform, with no extra hardware needed.

CHOOSE YOUR SET-UP

Choose hosted telephony, Teams or a contact centre

Your call volume, working locations and preferred devices guide the choice. We recommend an option and explain how it fits your team.

Microsoft Teams calling

If your staff already live in Teams, they can make and receive external calls there. Microsoft links Teams to the phone network through Calling Plans, Operator Connect or Direct Routing. We set up numbers and licences for you.

Dedicated hosted phone system

A separate VoIP platform with desk handsets and a reception console suits receptions, shops, warehouses and staff who do not work in Teams all day. Many hosted platforms also link into Teams.

Contact centre for busier teams

Contact centre features keep busy teams in control. Queue callers with position announcements, route by skill and offer callbacks. Supervisors see live wallboards and can listen in, whisper or barge to coach staff.

Mobiles alongside your desk phones

We also supply SIM-only and handset business mobiles. Mobile users can present your office number and join hunt groups. One supplier then looks after your phones, mobiles, connectivity and IT.

CONNECTIVITY

Keep your VoIP calls clear with a stable connection

Your VoIP phone system needs a stable connection. Delays and lost voice data can cause choppy audio. We test your business broadband before you switch.

We configure quality of service (QoS) on your router or firewall to prioritise voice traffic over large downloads. We can supply a better connection, including leased lines, or add 4G/5G backup.

Rural sites near the Test Valley and New Forest need extra planning. We can configure call diversion to mobiles if your office connection drops.

  • Line testing and a bandwidth check for your user count
  • QoS and VLAN set-up for voice traffic
  • Failover routing to mobiles or another site
  • Registered emergency addresses for 999 calls

HOW WE SWITCH YOU

Move your phone system online with a four-step plan

01

Audit your lines and kit

We list every number, line, handset and connected device, including alarms and card machines. You see what changes and what stays the same.

02

Design your call flows

We map who answers what, opening hours, menus and overflow rules with you. We also check your connection can carry the expected call load.

03

Port numbers and set up

We request the transfer of your existing numbers and build users, apps and handsets in advance. Your old lines keep working until the port completes.

04

Go live and support

We switch over at a quiet time agreed with you, train your team and stay on hand. Later changes are one request to our helpdesk.

Frequently asked questions

Cloud Phone Systems: your questions answered

Can I keep my existing numbers with a cloud phone system?

Yes, you can keep your existing numbers when you switch provider. Geographic numbers such as 01252 and 023 can transfer, along with 0800 and 03 numbers. We keep your old lines live until the transfer completes.

When do PSTN and ISDN phone services switch off?

PSTN and ISDN phone services are due to switch off by 31 January 2027. We review your existing lines and plan your move to digital calling. Allow time for equipment, number transfers and any connected devices that need replacing.

What internet connection does a VoIP phone system need?

A VoIP phone system needs a stable internet connection with enough capacity for your calls and other traffic. Business broadband can suit smaller teams, while busy offices or contact centres may need a leased line. We test your connection before recommending changes.

What happens to cloud phone calls if the internet goes down?

Your office phones lose access, but incoming calls can divert to mobiles, another site or voicemail when diversion rules are configured. Your cloud phone system stays active in its data centre. We configure these rules, and staff can also use the mobile app over 4G or 5G.

Should I choose Microsoft Teams or hosted telephony?

Teams calling suits regular Teams users, while a dedicated hosted phone system can suit teams that prefer desk handsets. Your reception, warehouse and remote workers may have different needs. We review how your team works before recommending either option or a combination. We can also review how calling fits your Microsoft 365 setup.

Will 999 calls work on a cloud phone system?

Yes, a cloud phone system supports 999 calls while your device, internet connection and phone service are working. Each user or site needs the correct address registered, especially for home workers and multiple locations. We record addresses during setup and update them when people move. Keep a charged mobile available for power cuts.

How do I compare business phone systems in the UK?

Compare business phone systems by your call volume, working locations, preferred devices and required features. Check whether each option supports your existing numbers and how it handles an internet outage. Our free IT review helps you assess your current setup and plan your move.
